Privacy Policy

Compdat LLC ("Compdat", "we", "us") is a managed services provider operating in the United States. This Privacy Policy explains how we collect, use, and protect personal information in the course of operating our business and providing services to our clients, including SMS messaging used for operational communications.

1. Information We Collect

We collect business and personal information necessary to provide managed IT services to our clients and to operate Compdat as a business. This includes:

  • Contact information (name, email, phone number, business address) provided by clients, prospects, vendors, and employees.
  • Account and authentication data for systems we operate or administer on behalf of our clients.
  • Service ticket and incident data, including any device, network, or system information needed to perform support.
  • Phone numbers used for SMS and voice communications (see SMS Messaging below).

2. How We Use Information

We use the information we collect to:

  • Provide managed services, technical support, monitoring, and incident response to our clients.
  • Communicate with clients, employees, and authorized contacts regarding service operations.
  • Send SMS and voice notifications for incident alerts, on-call communications, scheduled maintenance, and two-factor authentication.
  • Bill clients, manage subscriptions, and operate Compdat as a business.

3. SMS Messaging

Program description. Compdat uses SMS messaging to communicate with employees, authorized contractors, and authorized client contacts for operational purposes including help desk ticket status notifications (unacknowledged, acknowledged, snoozed, escalated, auto-resolved), on-call incident alerts, two-factor authentication codes, scheduled maintenance notices, and (for client contacts) appointment confirmations.

Consent / opt-in. Enrollment in Compdat's operational SMS program is voluntary and is not a condition of employment, of being a Compdat managed-services client, or of receiving any Compdat service. Phone numbers provided to Compdat for other purposes (for example, identity verification, primary contact, account recovery, or billing) are not by themselves enrolled in SMS messaging. To receive operational SMS, an eligible recipient (Compdat employee, authorized contractor, or authorized contact at a Compdat client) must affirmatively opt in by completing the SMS Notification Enrollment form at https://compdat.com/sms-opt-in and checking the consent checkbox. Recipients who do not opt in receive operational communications by alternative means (email, phone) with no impact on their employment, contractor agreement, or service relationship. No third party can enroll a number on someone else's behalf.

Sample messages. Examples of messages recipients may receive:

  • "The help desk ticket 456 'My computer won't start' has not been acknowledged in five minutes. Click here to acknowledge, click here to snooze for one hour, click here to view record."
  • "The help desk ticket 456 'My computer won't start' has been acknowledged after 5 minutes by Rob Labbe."
  • "The help desk ticket 456 'My computer won't start' has been snoozed for 1 hour by Rob Labbe. It will begin notifying again at 12:45 AM."
  • "The help desk ticket 456 'My computer won't start' has been escalated by Rob Labbe after 5 minutes."
  • "The help desk ticket 456 'My computer won't start' has been auto resolved."

Message frequency. Message frequency varies based on operational events; recipients should expect approximately a few messages per week per recipient, with occasional higher volume during active incidents.

Opt-out. Recipients may opt out of SMS messages from Compdat at any time by replying STOP to any message; Compdat's messaging provider will block further messages automatically. Recipients may also contact Compdat at privacy@compdat.com to remove their number from notifications. Standard message and data rates may apply.

Help. Reply HELP to any SMS message to receive Compdat support contact information.

No third-party sharing of SMS data. Compdat does not share, sell, or rent SMS opt-in data, phone numbers, or message content with third parties or affiliates for marketing or promotional purposes. SMS information is used solely for the operational purposes described above. We may share SMS information with our messaging provider (Twilio) solely to deliver messages, and with law enforcement when legally required.

4. Information Sharing

We do not sell personal information. We share information only:

  • With service providers and vendors who help us operate our business (for example, our messaging provider, our hosting provider, and our accounting system), under contracts that limit how they may use it.
  • With clients, regarding their own users, systems, and tickets, as part of providing managed services.
  • When legally required (subpoena, court order, regulatory request).

5. Data Retention

We retain personal information for as long as needed to provide services, comply with legal obligations, resolve disputes, and enforce agreements. Specific retention periods vary by record type.

6. Your Choices

If you are an end user whose information we hold, you may contact Compdat to access, correct, or delete your personal information, subject to legal and contractual constraints. You may opt out of SMS messages at any time as described above.

7. Security

Compdat takes commercially reasonable steps to protect personal information from unauthorized access, disclosure, alteration, and destruction. No system is perfectly secure; we encourage prompt reporting of any suspected incident.
